Last week, we rediscovered BPR and the needs for process re-engineering that most offices still suffer. Recommending a paperless office via document scanning was just step 1 of this intensive process.
Problem Area #2: Your office is not even close to being organized.
There was a time when “documents in triplicate” were considered a good thing. No longer. The average computer-reliant professional has 5+ copies of every single document on his/her computer. That not only slows down your machine, but your performance, increasing your errors and making you and your company look incompetent and slow.
What’s the solution? Modernizing your filing system is a matter of electronic conversion – and step two of this DIY involves getting the right document management system for the job. With the right management system, your triplicates disappear and become simply stored as previous saves of the same document. This applies to your emails, your word copies, your PDF versions, etc. How many versions of the same document do you have plaguing your desktop right now? And what about the documents that you wish you could revert back to an old format, rather than having to copy the changes over and over again?
We suggest using online document repositories, set up with metadata to be completely searchable.
Problem Area #3: The system has failed.
Whatever system you currently use for communication is human – and therefore, in ERROR.
What’s the solution? A good document imaging job will allow your company to automate processes. This means, whenever an email or document arrives that is relevant to invoicing, it goes straight to your bookkeeper. Graphics go straight the graphic designer. Contracts are immediately dispersed to the attorney. Automation allows you to save time in assignment, and also removes the lag time from the simple process of getting work completed.
5i Solutions can set up this system with the right tags, making it completely searchable and perfectly automated to your company’s needs. Document Imaging solutions are available for more information here.
BPR is a huge need, but much more doable than it was two decades ago. Take our advice – and enjoy our solutions. Find out more about document scanning and document imaging here>>
